Company event invitations: clean sign-ups, a list ready for check-in

Holiday party, after-work drinks, launch, offsite: the invitation should look like the company, and the sign-up list has to be reliable. Here's how to do both with one link.

Why use an online invitation for a company event?

Because it gives you an up-to-date sign-up list without a spreadsheet or an inbox to sift through. Each guest replies in one tap from the link, and you see sign-ups live.

The invitation stays current: if the room or time changes, you edit the card and everyone sees the new version through the same link. Guests can add the event to their calendar.

How do you control who signs up?

Limit the link to your list: you add guests (name, email) and each gets a personal link. An outsider with only the general link can see the card but can't sign up.

For after-work drinks open to the whole department, an open link is enough: each person who replies is added to your list. Hide the guest list if you don't want it visible.

What should you ask employees?

Whatever helps with logistics: food, transport, sessions. Multiple-choice questions give answers you can count directly.

  • Meal or dietary requirement (optional question)
  • Attending: talks, dinner, party
  • Shuttle or parking
  • Chosen workshop (for an offsite)
  • T-shirt or swag size

Which plan suits a company?

For a one-off event, Big event (€29.90 once) gives up to 500 guests, ten questions and the company logo. If you organise often, Pro is €19 a month, or €14 a month billed yearly: unlimited events, up to 1,000 guests each.

How do you prepare check-in on the day?

Export the list to Excel/CSV: name, email, reply, plus-ones, answers. It works as a check-in list at the door.

Print it or open it on a tablet at the entrance, sorted by name. Guests who replied "maybe" are easy to spot, so the welcome team knows who might still turn up.

Employee data comes with a few simple rules: see GDPR and guest lists. For smaller team events, there's also the leaving do and the retirement party.

How do you make the invitation look like the company?

With your logo, colour and font. The company logo comes with Big event or Pro; colour and font can be set on every plan.

Pick a clean theme ("minimal" is free, and premium themes come with Invitotte+ and above), set the colour to your brand colour, and keep the message short: date, venue, programme. A photo of the venue or the team can replace a long paragraph. The small "Made with Invitotte" badge disappears from Invitotte+.

How do you run several events a year?

With Pro, every event automatically gets the Pro features: up to 1,000 guests, ten questions, logo and export. Create as many events as you need, without paying each time.

Pro is €19 a month with no commitment, or €14 a month billed yearly, and can be cancelled at any time.
